Role Summary

The Project Manager/Admin serves as the operational backbone of the Communications team, ensuring that all projects, assets, and requests move from concept to completion with clarity, consistency, and excellence.
This role owns the day-to-day coordination of the communications calendar, graphic production workflow, and cross-ministry collaboration—helping translate vision into timely, well-executed deliverables across in-service, digital, and on-site channels.

Key Responsibilities

1. Communications Calendar Management
  • Own and maintain the master communications calendar across all platforms (services, web, email, LED, events)
  • Confirm all initiatives, events, and campaigns are properly scheduled, aligned, and communicated
  • Proactively identify gaps, overlaps, or conflicts and resolve them in advance
  • Serve as the central point of coordination for timing and rollout of communications
2. Graphic Production & Implementation (End-to-End Ownership)
  • Oversee the full lifecycle of graphic assets from request to final delivery:
    • Intake and clarification of ministry requests
    • Coordination with designers
    • Review for accuracy, branding, and alignment
    • Final approval and delivery
  • Guarantee correct and consistent implementation across:
    • Print assets
    • LED screens (in-service and exterior where applicable)
    • Web and email
    • In-building placements and ministry usage
  • Maintain quality control and consistency of branding across all assets
  • Confirm deadlines are met and assets are delivered in advance of use
3. Ministry Relations & Request Management
  • Serve as primary liaison between Communications and ministry teams
  • Guide ministries on communications process, timelines, and requirements
  • Clarify requests before entering production
  • Manage expectations while maintaining a service-oriented posture
4. Live Announcements Workflow Support
  • Support the execution of weekly live announcements by:
    • Ensuring all required assets are produced and finalized on time
    • Verifying accuracy and alignment with distributed copy
    • Coordinating with relevant teams for proper placement and readiness

Note: Copywriting and final distribution remain with the Communications Director.

5. Project & Initiative Coordination
  • Assist in coordinating key communications-driven initiatives and events, such as:
    • Easter / major seasonal campaigns
    • Congregant mobilization efforts
    • Chapter by Chapter milestones and promotions
    • Church-wide communications efforts
  • Track timelines, deliverables, and dependencies across teams
  • Confirm follow-through from all stakeholders
6. Creative & Production Coordination
  • Coordinate with internal and external designers to ensure:
    • Clear briefs and direction
    • Timely delivery
    • Alignment with brand standards
  • Build and maintain efficient workflows between Communications and Creative
7. Administrative & Operational Support
  • Schedule and coordinate team and cross-functional meetings
  • Manage incoming communications (e.g., the general communications inbox) with discernment and prioritization
  • Track tasks, follow-ups, and deliverables across multiple projects
  • Maintain organized systems for files, assets, and requests

Qualifications

  • Bachelor’s degree or equivalent professional experience in communications, project management, or a related field
  • 2+ years of experience in project management, administrative support, or communications
  • Strong organizational skills, with the ability to manage multiple deadlines simultaneously
  • Familiarity with project management tools (e.g., Asana) and design platforms (e.g., Canva, Adobe Creative Suite) a plus
  • Ministry or church environment experience preferred but not required
  • Excellent written and verbal communication skills
